Running an internal academy day to day

An internal academy is judged on its administrative load, not on its launch catalogue. This page describes the real running of it: the roles to distribute, the permissions attached, the catalogue update rhythm and the weekly time it asks of your lead.

When an internal academy earns its place

Three signals are enough to decide, and all of them are about MULTIPLICITY, never headcount alone. A forty-person organisation with five distinct pathways gains more than a three-hundred-person one with a single pathway.

  • Several departments follow different pathways at the same time
  • Joiners and leavers are frequent enough that a manual list ages within a month
  • Your own procedures are meant to become stable content, reused every year
  • Middle managers need to see their team's progress without going through you

The four roles, and what each can do

Distributing roles is the structuring decision at launch: it determines who comes to you and for what. An academy where only the administrator can enrol produces a bottleneck measurable by week two.

Governing the internal catalogue

Your internal catalogue combines three sources: what you open from the 444 modules of the base, what you open from the 30 certifying programmes, and what is produced from your own documents. The rule that holds over time is simple: one named person approves every entry, and every entry carries a review date.

What administration asks, week after week

Joiners and leavers

A list import is enough in year one. Automating from your payroll system becomes useful once movement is weekly.

Opening a pathway

Pick the modules, set the deadline, name the population. A few minutes once the first pathway exists.

Following late completers

Reminders go out on their own and notify the line manager. Your lead steps in on the cases that need a decision.

The catalogue review

Once a quarter: what stays required, what becomes optional, what needs a content update.

What « under your brand » covers exactly

Your identity applies to the application and to emails alike, and your internal vocabulary replaces ours wherever a label appears. A mention of the underlying platform sits in the legal notice: identified hosting is a compliance requirement, and it is the only page where it appears.

  • Your name, logo and colours, in the application and in emails
  • Your pathway titles, your categories, your internal vocabulary
  • Your rules: what is required, for whom, by when
  • Your sending addresses for invitations and reminders
  • Your tracking data, exportable at any time by your administrator

Administration questions

How much time must our lead give to it?

Initial setup is a matter of days, concentrated in the first week. After that the load fits in half a day a month, provided department managers enrol their own teams. That is why role distribution is decided before opening rather than after.

Can a pathway be made mandatory for only part of the workforce?

Yes, and it is the recommended use. Obligation is set by population: a department, a site, an exposed function, a contract category. Reserving obligation for genuinely required topics preserves the signal; when everything is required, nothing is, in the eyes of the teams.

Does our internal content stay ours?

Content produced from your documents belongs to your organisation, serves your academy and feeds no shared catalogue. It exports alongside your tracking data, at any time, by your administrator and without going through us.

How do we start before full setup?

By opening a single pathway, for a single population, with a single deadline. That configuration goes live in days and yields real measurement: observed participation, actual time spent, questions asked. The rest of the setup is then decided on facts.
